I’ve heard of Conclave, but don’t really know what it is.

Should I attend?

Yes you should absolutely attend. Conclave is weekend of fun, fellowship, learning, and even some friendly competitions. OA members from all over Southern California, Southern Nevada, Arizona, and more will be present. It’s the OA’s largest event outside of NOAC (National Order of the Conference). Whether it’s your first or 21st, Conclave is always fun! Plus we feed you!

When is Conclave?

This year’s Conclave is October 3 – 5, 2025 and will be held at Camp Geronimo. (Payson, AZ)

Who can attend Conclave?

Conclave is open to all registered OA members. The 4 Lodges of our Section, G13W, make up the primary attendees. Our Lodges (and councils they serve are: Nebagamon Lodge (Las Vegas Area Council), Wipala Wiki Lodge (Grand Canyon Council), Papago Lodge (Catalina Council), & Tiwahe Lodge (San Diego-Imperial Council). But we often have several OA members from visiting Lodges and Sections attend because Conclave is that much fun.

What if I don’t know anyone? Or what if this is my first Conclave?

Don’t worry. Everyone will be happy to meet someone new. 

How do I get to camp?

Some Chapters and the Lodge’s coordinate carpools. Check with your Lodge leadership to see if there’s a plan in place. You can also plan on being dropped off and picked up as well.

I’m going to get dropped off, what time should I be picked up?

Program ends Sunday morning with a closing show. Once the show is over everyone will need to make sure that camp is clean before we all take off.  So plan on being picked up by 10AM, no earlier than 9AM. And you should plan on arriving to camp on Friday evening before 8PM.

Last year there was a patch auction, will there be one again and how do I participate? 

Yes absolutely, we’ll be holding a patch and memorabilia auction on Saturday of Conclave.  Scroll down below to learn more and be on the lookout for emails with all the details.

Code of Conduct

All attendees to the Section G13W Conclave must read and agree to the Code of Conduct. To accept the Code of Conduct you can do the following. Once you’ve registered, please log back into NOAERS (National Order of the Arrow Events Registration System [the place you registered for Conclave]). Once you’ve logged in please navigate to the Code of Conduct acceptance tab by… Login > under “My Event” select “Section G13W Conclave 2025” > select “Event” from the sidebar > click “edit” for Permissions and Releases> review the Code of Conduct and click the “I have read and accept..” box > and finally click “Save” in the upper right corner.

Section Officer Elections

A Highlight of the Conclave weekend are the youth Section Officer elections. On Saturday evening all youth members of the Section will gather to elect our Section Chief, Section Vice Chief, and Section Secretary. If you are interested in running for a position, here is what you need to know: All candidates must: Have pre-approval from their Scout Executive in writing prior to Conclave. Please send that approval to the Section Adviser once you obtain it. Even if you aren’t sure you are going to run get the approval, better to have approval and decide not to run than the other way around.
  • Be under 21 for the entire duration of your term
  • Be nominated by a Lodge Chief (or designee) at the Section Election and accept the nomination
  • For Section Chief, not hold any other CST or National Scouting position
Those elected to Section Office must attend the Region SOS in October in Seattle, all Section COC meetings in 2026, and the 2026 Section Conclave.
The Section Chief will attend the National Planning meeting in January to vote in the National Officer elections and help plan for Operation Arrow at the 2026 National Jamboree.

Equipment List (what to bring to Conclave)...

Camping Gear

  • Tent
  • Sleeping Bag
  • Sleeping Pad
  • Camp Chair (for shows, morning classes, and afternoon leisure)
  • Flashlight/headlamp
  • *BACKPACK for all your gear.  You will have to walk from the parking lot to your campsite. (see above)
 
Other Essentials
  • Physical (printed) copy medical forms, Part A & B, with attached copy of insurance cards (front & back)
  • Toiletries (toothbrush, toothpaste, etc…)
  • Towel (for shower and/or waterfront activities)
  • Sun Protection (sunblock, hat, sunglasses)
  • Water Bottle

Clothing

  • Field Scout Uniform w/ OA Sash 
  • Activity Scout Uniform (for afternoon program)
  • Sleep clothes
  • Closed toed shoes (athletic style for events and afternoon program)
  • Mythology Related Costume (can be worn in lieu of or in conjunction with scout uniform)
 
Optional
  • Items to donate to the patch/memorabilia auction
  • Cash for the auction, snack bar, and trading post

Patch Auction

The live and silent patch & memorabilia auctions will be back at Conclave. Donations for OA and scouting memorabilia will be taken Friday evening in the Dining Hall, near check-in. It’s best if you can turn your items in Friday but if you arrive late, don’t worry, we’ll still take them Saturday morning. More details to come, but know that donations over a certain value will receive a special recognition patch. Silent Auction: The silent auction will take place Saturday afternoon. Live Auction: Get your bidding paddle ready! The live auction will be action packed with items of varying values. The live auction will take place later Saturday evening.

Apply Today for the Conclave Financial Assistance Program!

The goal of the G13W Conclave Financial Assistance Program (CFAP) is to help make Conclave attendance possible and affordable for Arrowmen (under 21) who have expressed financial hardship and would otherwise be unable to attend. While this is a needs-based program, requests will be evaluated for need, interest in Conclave, and a commitment to the Order of the Arrow.

Review the CFAP Program Guide for more details and apply using the CFAP Google Form. In order to be considered for the CFAP Arrowmen must fill out the application form BY/BEFORE 11:59pm (Pacific) on Friday, August 29th, 2025. Late or incomplete requests will not be considered.

Applicants are responsible for their own travel to and from Conclave, and should communicate with their Lodge leadership if they need help with travel arrangements.
